<p>Duties<br />
This is a developmental opportunity, no experience is necessary. Accredited training will be provided to support your career.</p>
<p>The Assistant Administrator will provide essential backup and administrative support in the day-to-day running of the studios and the delivery of our artistic and engagement programmes. The role will include general office administration, liaising with our artists about the day-to-day running of the studio, the organisation and promotion of studio events, workshops and exhibitions, the invigilation of our Studio 12 exhibition/project space and the organisation, administration and promotion of fundraising projects. The Assistant Administrator will gain experience in all aspects of exhibition making including planning, installing and promoting our artistic and engagement programmes.</p>

										<content:encoded><![CDATA[<p>Established in 1990, by artists for artists, Backwater Artists Group provide a stable and supportive working environment for visual artists and access to the supports and skills needed to establish, expand and sustain their studio practice. Our studio complex is located in Cork City Centre and includes 28 studios, a darkroom, an exhibition/project space, a computer room and a woodwork area. We currently support 73 artists through our studios, our darkroom and our network.</p>
<h6>About the role</h6>
<p><strong> </strong>This job will be located on our premises in Wandesford Quay. The Studio Manager will be responsible for ensuring smooth operations in the day-to-day running of our facilities including our office and our facilities. The Studio Manager will manage our waiting lists, ensure that studio spaces are filled, deal with queries with regard to becoming a member, send out application forms and manage our open calls.  The Studio Manager will assist the Studio Director to ensure up to date Health &amp; Safety policies and procedures are in place and take a proactive approach to Health &amp; Safety in the building. The Studio Manager will liaise with our Caretaker/Facilities Manager on building operations, health &amp; safety and upkeep. The Studio Manager will assist the Studio Director in organising financial systems, including monthly accounts and processing members fee payments and invoices.</p>
<h6>Operations</h6>
<ul>
<li>Ensure the smooth running of the day-to-day operations of Backwater Artists Group.</li>
<li>General office duties such as answering the telephone, using the email system, liaising with staff and artists, printing exhibition information, filing as appropriate, submitting metre readings and working out electricity and gas bills for the complex.</li>
<li>Assisting the Studio Director in organising financial systems and in monitoring finances, including tracking income and expenditure, processing invoices and payments, generating monthly internal reports, and preparation of information towards annual end of year audited accounts.</li>
<li>Membership: Deal with membership queries, send out application forms, manage open calls, schedule inductions, manage our waiting list, members lists, assigning keys and fobs, drafting licences, organising collection of keys and fobs and keep records up to date.</li>
<li>Liaise with our Caretaker/Facilities Manager on all aspects pertaining to the upkeep of the building.</li>
<li>Ensure all facilities are in good working order and report to the Studio Director if necessary.</li>
<li>Ensure studios are left as found when artists are leaving the studios.</li>
<li>Being aware of disability and access requirements</li>
<li>Assist the Studio Director in overseeing Health &amp; Safety. Ensure Health &amp; Safety procedures are in place and followed. Organise Training when necessary.</li>
<li>Contribute to the writing of funding proposals where necessary.</li>
</ul>
<h6>Other</h6>
<ul>
<li>Assisting the team with the administration required for the planning and delivery of the Backwater Exhibition &amp; Engagement programme when necessary.</li>
<li>Assisting at opening events and other events including Culture Night and Heritage Day when required.</li>
<li>Assisting the Communications &amp; Marketing Co-ordinator with the promotion of Backwater events where necessary.</li>
<li>Liaise with the team in all aspects of the organisation of our annual Winter Salon fundraising event.</li>

<h6>Job Spec</h6>
<ul>
<li>A minimum of 3 years administration/office management experience</li>
<li>Experience with Accounts/Budget Management</li>
<li>High Proficiency in MS Office (Word, Excel, Outlook, Indesign)</li>
<li>Good Knowledge of Health &amp; Safety protocols</li>
<li>Experience working with artists is desirable</li>
<li>Knowledge and experience in building management is desirable</li>

<p>Established in 1990, by artists for artists, Backwater Artists Group is committed to providing affordable, high-quality and well-managed studios for visual artists to ensure support at key stages of their careers. We provide a stable and supportive working environment for visual artists and access to the supports and skills needed to establish, expand and sustain their studio practice.</p>
<p>Our studio complex is located in Cork City Centre and includes 28 studios, a darkroom, an exhibition/project space, a computer room and a woodwork area. We currently support 67 artists through our studios, our darkroom and our network.</p>
<p>Membership of the network presents artists working outside of the studio group, with the opportunity to connect to a well-established artists community in the heart of Cork city. It presents opportunities for artists to meet each other at social, learning or discursive events and to learn from other invited artists and arts professionals. Visibility, promotion, exhibition and residency opportunities are also on offer, as well as discounted rates for specialist workshops and courses run by BAG.</p>
<p>Through our Studio 12 exhibition/project space, we aim to increase collaboration and engagement with the wider artistic community and the general public through exhibitions and outreach events. Studio 12 currently facilitates 4 x 6 week exhibitions per year. In addition to this, a number of short 1-2 week project based events are programmed. We also have a number of off-site exhibition planned for 2022.</p>
<p><strong>The Role</strong></p>
<p>Backwater Artists Group is currently seeking a <strong>Programme and Outreach Manager</strong> with a strong commitment to the arts and visual artists. The successful candidate will liaise with the Studio Director to manage and develop an ambitious Visual Arts Programme, Continued Professional Development Programme, a Residency &amp; Exchange Programme and an Outreach Programme for the organisation.</p>
<p>The Programme &amp; Outreach Manager will plan and co-ordinate events and exhibitions both in-house in our Studio 12 Exhibition/Project Space and external sites across Cork City, nationally and internationally.</p>
<p>They will manage and co-ordinate the Backwater Artists Network, including the network’s programme of activities. They will also work with the team to grow the network’s membership base.</p>
<p>They will engage with the surrounding communities and work closely with partners to plan and execute various community projects.</p>
<p><strong>Closing Date for applications 5pm Thursday, 3<sup>rd</sup> March 2022. </strong></p>
<p><strong>Key Tasks</strong></p>
<p><u>Artistic programme  </u></p>
<ul>
<li>Scheduling and administrating the artistic programme</li>
<li>Preparing submission forms and contracts and managing open calls for artistic programme</li>
<li>Organising exhibitions, ensuring that artists’ work is presented in the best possible light</li>
<li>Proofread and edit all exhibition literature, exhibition descriptions, artists statements and biographies</li>
<li>Managing the invigilation of the Studio 12 exhibition/project space as necessary</li>
<li>Receiving delivery of artwork and arranging collection</li>
<li>Coordinating the de-installing and installing of exhibitions</li>
<li>Maintaining the Studio 12 exhibition/project space</li>
<li>Sourcing and liaising with curators when needed</li>
<li>Contributing to the writing of funding applications relating to the artistic programme where applicable</li>
</ul>
<p><u>Backwater Artists Network</u></p>
<ul>
<li>Scheduling, coordinating and hosting BAN events including seasonal lunches and artist talks</li>
<li>Scheduling and coordinating BAN group crits as well as sourcing and liaising with group crit facilitators</li>
<li>Maintain excellent communications with members</li>
<li>Growing the membership base</li>
<li>Coordinating and curating annual BAN group exhibition</li>
<li>Review the success of events and activities to inform future planning through surveying network members.</li>
</ul>
<p><u>Community Engagement</u></p>
<ul>
<li>Connect the organisation with the surrounding communities through engagement and networking.</li>
<li>Maintain a calendar of outreach events and liaise with external partners to plan and execute community and/or festival projects.</li>

<li>The development and coordination of Backwater’s Outreach Programme.</li>

<p><u>Required Education, Skills and Qualifications</u></p>

<li>At least 2 years’ experience in a similar position.</li>
<li>A relevant third level qualification.</li>
<li>Experience in curatorial practice is required.</li>

<li>Excellent administrative skills.</li>
<li>Excellent communication and interpersonal skills.</li>
<li>The ability to work both independently and as part of a team.</li>

<p><strong><u>Job Description and Person Specification</u></strong></p>
<p>Backwater Artists Group wishes to employ an experienced communications and marketing professional to join our team to devise and implement new communications and marketing strategies, increase the profile of the artist studio complex and our artist members, support our fundraising and sponsorship initiatives and grow audiences.</p>
<p><u>About</u></p>
<p>Established in 1990, by artists for artists, Backwater Artists Group is committed to providing affordable, high-quality and well-managed studios for visual artists to ensure support at key stages of their careers. We provide a stable and supportive working environment for visual artists and access to the supports and skills needed to establish, expand and sustain their studio practice.</p>
<p>Our studio complex is located in Cork City Centre and includes 28 studios, a darkroom, an exhibition/project space, a computer room and a woodwork area. We currently support 67 artists through our studios, our darkroom and our network.</p>
<p>The Backwater Artists Network (BAN) offers a shared city centre focal point and opportunities to connect for professional artists working in isolation from studios in their own homes or in single privately rented studios. Membership of the network presents opportunities for artists to meet each other at social, learning or discursive events and to learn from other invited artists and arts professionals. Visibility, promotion, exhibition and residency opportunities are also on offer, as well as discounted rates for specialist workshops and courses run by BAG.</p>
<p>Key fundraising and sponsorship initiatives include our annual Winter Salon event and our sponsorship scheme. Both initiatives focus on bringing in funds for our artistic and mentorship programmes, which in turn support the practices of artists enabling them to produce high quality, new and innovative work.</p>
<p>Through our Studio 12 exhibition/project space, we aim to increase collaboration and engagement with the wider artistic community and the general public through exhibitions and outreach events.</p>
<p><strong><u>Main Function of the Role </u></strong></p>
<p>Backwater Artists Group is now seeking a dynamic and creative Communications and Marketing Co-ordinator. The successful candidate will join a hard-working team who operate in a positive, supportive environment and who care deeply about supporting visual artists at all stages of their careers.</p>
<p>They will support the development and implementation of communications across all platforms to promote the work of studio members, network artists, our programmes, exhibitions, events and fundraising initiatives.</p>
<p>They will work with the team and contracted designers to plan and implement a new bespoke website (delivering in 2022).</p>
<p>They will also contribute positively to the internal communications of the Complex as well as foster excellent external relationships with partners, media and other stakeholders.</p>
<p><strong><u>Key Activities</u></strong><strong> </strong></p>
<ul>
<li>Develop and implement a Digital Marketing Strategy, with a particular focus on the website, social platforms and email marketing to promote and support artist members, network artists, studio activities, events and fundraising initiatives.</li>
<li>Work with the team, designers and website developers to plan and implement a new bespoke website (delivering in 2022).</li>
<li>Devise strategies to drive online traffic to the studio website to increase engagement and potential sales.</li>
<li>Maintain and update website content, which will entail writing and gathering new content as required and liaising with artists to ensure members’ profile pages are kept up to date and relevant.</li>
<li>Develop a social media strategy including content creation to expand the reach and engagement of our social platforms.</li>
<li>Manage, write and schedule regular Mailchimp e-bulletins.</li>
<li>Coordinate the design, print and circulation of all marketing and promotional materials, ensuring strong brand consistency.</li>
<li>Liaise with artists and team members to gather promotional content and images to inform event marketing and pr materials, press release, print, website, email marketing and social media content.</li>
<li>Contribute positively to the overall environment and internal communications of the Complex.</li>
<li>Maintain updated content on relevant external online listings with key information about studio events, activities and fundraising initiatives.</li>
<li>Organise pr activities and photo shoots and write and circulate press releases regularly.</li>
<li>Liase with Programme &amp; Outreach Manager and Studio Director to curate and coordinate videography of artists interviews, studio exhibitions and other events. Putting together a videography plan.</li>
<li>Create, edit and upload video content to Vimeo and social media channels.</li>
<li>Attend and present at team meetings as necessary.</li>
<li>Undertake any other duties in line with the responsibilities of the post as requested by the Studio Manager.</li>
<li>Ensure brand cohesion across marketing communication materials including video</li>
</ul>
<p><u>Required Education, Skills and Qualifications</u></p>
<ul>
<li>At least 2 years’ experience in a similar position.</li>
<li>A Level 8 Degree or higher in a relevant qualification such as Media, Communications, Marketing, English, or Journalism.</li>
<li>Excellent IT skills &#8211; Including Microsoft Word, Teams and Excel.</li>
<li>Excellent writing skills for all platforms, both traditional and digital.</li>
<li>Excellent interpersonal skills.</li>
<li>Excellent administration skills.</li>
<li>A genuine enthusiasm for the arts in all its forms.</li>
<li>A confident and professional manner.</li>
<li>A highly organised and systematic approach.</li>
<li>The ability to work both independently and as part of a team</li>
<li>Excellent knowledge of marketing for Social Media Platforms including Twitter, LinkedIn, Facebook, Instagram.  Knowledge of WordPress, Canva, Mailchimp also a requirement.</li>

<p>Wandesford Quay CLG is a management company formed by Cork City Council in 2000, to administrate the management of the Wandesford Quay Complex which houses three arts organisations: Backwater Artists Group, Cork Printmakers &amp; The Lavit Gallery. Wandesford Quay CLG is hiring a caretaker/facilities manager to conduct general maintenance of the building, monitor health &amp; safety in the building, liaise with contractors and service providers and liaise with all three organisations in the Wandesford Quay complex to ensure the smooth running of the premises.</p>
<p><strong>Role:</strong></p>
<p>The Caretaker/ Facilities Manager will be responsible for the day-to-day management of the Wandesford Quay building, grounds and services of Wandesford Quay CLG.</p>
<p><strong>Job Description: </strong></p>
<p><strong><u>Maintenance</u></strong></p>
<ul>
<li>The Caretaker/Facilities Manager is responsible for making sure the building, including furniture, equipment and fittings are in proper working order and maintained to an excellent condition.</li>
<li>Carrying out minor repairs and other general maintenance such as painting, cleaning, changing light bulbs and unblocking drains.</li>
<li>Scheduling and supervise plumbers, electricians, fire safety contractors and other outside contractors to ensure that work is completed to a satisfactory standard and place of work is returned to order.</li>
<li>Liaise with the WQ Administrator in the preparation of monthly reports for Wandesford Quay CLG on building/maintenance.</li>
<li>Liaise with the WQ Administrator to keep records of contractor visits and work carried out.</li>
<li>Monitor contractors on site and keep a record of their permits to work and site safety plans etc..</li>
<li>Attend operations meeting when asked.</li>
<li>Source suppliers, negotiate prices renegotiate annual contracts for building maintenance and equipment, including all health and safety items (Fire Extinguishers, alarm, Lift Services, Drains maintenance etc..)</li>
<li>Monitor utilities and proactively source more energy efficient resolutions.</li>
<li>Manage heating and ventilation schedule as decided by the line manager and/or between specified staff of occupying organisations.</li>
<li>Ensure disabled access to and from the building where necessary.</li>
<li>The premises, courtyard and common areas should be kept clean and any litter removed, rubbish put out for collection, and any graffiti to be cleaned up. Regular cleaning and maintenance of toilets, including replacement of consumables (soap, toilet rolls, hand towels).</li>
<li>Receive deliveries and manage on-site parking.</li>
<li>Provide support to staff of the three organisations located in WQL as requested by specified staff members, in line with agreed procedures within the working day and as workload permits. Assistance may require light carpentry work.</li>
</ul>
<p><strong><u>Health &amp; Safety</u></strong></p>
<ul>
<li>Oversee Health &amp; Safety in the building, liaise with management on any health and safety issues that may arise and complete Health &amp; Safety Training as required.</li>
<li>Carry out daily/monthly/annual Health &amp; Safety checks including fire alarm tests and organise bi-annual fire drills. Record same in the fire book.</li>
<li>To  improve or recommend improvements to any procedures and produce reports, as a result of any reported incidents in order to reduce risk and prevent this incident reoccurring.</li>
<li>To attend Health &amp; Safety meetings and report to the Health &amp; Safety Committee.</li>
<li>Ensure the building is compliant with all statutory health and safety testing e.g. gas and electrical safety checks, fire alarm testing, lift servicing etc..</li>
</ul>
<p><span style="text-decoration: underline;"><strong>Security</strong></span></p>
<ul>
<li>Ensure the building is secure and act as a security presence. Direct visitors to the relevant organisations based within the building.</li>
<li>The Caretaker/Facilities Manager will be a key holder for any alarm call outs.</li>
</ul>
<p><span style="text-decoration: underline;"><strong>Person Spec:</strong></span></p>
<ul>
<li>Experience of working within a Caretaker or Facilities Management environment with responsibility for monitoring services and standards.</li>
<li>Excellent people skills and the ability to communicate with people at all levels.</li>
<li>The ability to manage a busy workload efficiently and to prioritise key tasks.</li>
<li>Excellent organisational and time management skills.</li>

<p>Cork Printmakers, Backwater Artist Group, The Lavit Gallery in partnership with Cork City Council Arts Office are recipients of the <em>In the Open |Faoin Spéir </em>Arts Council Award. <em>In the Open|Faoin Spéir</em> is an initiative of the Arts Council of Ireland to generate a sustained and curated programme of multidisciplinary, inclusive arts activity in public or open spaces in towns and communities around Ireland between July 2021 and April 2022. <p><strong>About the Role</strong></p>
<p>The Programme Manager (PM) is essential in overseeing the realisation of the In the Open programme. The PM is the person who will arrange and oversee activities and scheduling of the programme, the venue and communication of activities and directly liaise with participants.</p>
<p>The PM will be supported by and work closely with the Production Support Officer and tenant organisations to take on and delegate operations. Support, training and advice will be offered in a number of areas by the tenant organisations and main stakeholders (Cork City Council and the Arts Council of Ireland).</p>
<p>The Programme Manager will oversee the programming, scheduling and communications of events and activities. The main duties include:</p>
<ul>
<li>To oversee the programme and manage all aspects of ensuring high-quality engaged public events</li>
<li>To ensure a good spread across disciplines and to reach target audience and participants</li>
<li>To effectively communicate concept and idea realisation to the public and to stakeholders</li>
<li>To liaise with partners and working artists in ensuring projects are realised</li>
<li>To oversee a booking system for stakeholders and ensure terms of use are practical and fit for purpose</li>
</ul>
<p><strong>Location of work:</strong> Wandesford Quay, Cork, Ireland T12 E26D</p>
<p>The Programme Manager may be required to visit other locations in Cork City to attend meetings or in the fulfilment of other duties. The PM may carry out these tasks using their own office space/computer should they wish, in line with GDPR and Covid-10 Work From Home safe work practices and guidelines.  Access can be provided for desk space, telephone and computer in Wandesford Quay to carry out any communications or administrative tasks if necessary. Management Software, subscriptions and other equipment required to fulfil the role may be provided through Cork Printmakers.</p>
<p><strong>Management/Reporting to</strong>: Wandesford Quay Courtyard Committee (Elaine Coakely, Aoife O’Connell and Maeve Lynch)</p>
<p><strong>Duration:</strong> December 2021 – April 2022</p>
<p><strong>Hours of work:</strong> Dependent on events schedule as set out by Programme Manager. Work may take place on evenings and weekends.</p>
<p><strong>Fee:</strong> €5000 for the above duration to fulfil approximately 40 hours per month.</p>
<p>This is calculated as €25 per hour OR €200 per day OR 40 per month (€1000/month).</p>
<p>The PM will be required to complete and submit a time sheet to keep a record of hours worked on a monthly basis. Payment can be made in 5 monthly instalments of €1000 on receipt of an invoice from the contractor.</p>
<p>Any additional costs required to cover expenses, travel and subsistence can be paid on receipt of an invoice for same, once approved in advance.</p>
<p><strong>Facilitation and artist fees:</strong> If the Programme Manager is facilitating events or participating in the programme in a capacity other than their main role, for example hosting an education or outreach workshop, a separate artists fee/facilitation fee may be provided subject to approval by management.</p>
<p><strong>Contributions/Taxation:</strong> This is a contracted service provider role. The candidate will be responsible for their own taxation and contributions. <p><strong>Backwater Artists Group </strong>is one of the largest and longest established artist-led initiatives in the country. We provide high quality, affordable studios with security of tenure, access to facilities and developmental support for professional visual artists. The studio complex has 28 studios (6 sculpture and 22 painting/mixed media).<strong> </strong>Established in 1990 by artists for artists, we provide a stable and supportive working environment for visual artists and access to the supports and skills needed to establish, expand and sustain their studio practice. Through our outreach programmes we are committed to widening the range of people who experience visual art.</p>
<p><strong>Cork Printmakers </strong>is a fine art printmaking studio is an artists’ resource, providing the space, facilities and equipment necessary to create art work through the medium of printmaking. We offer facilities in intaglio, screen-printing, lithography, letterpress, relief and digital printing.<br />
Our purpose is to support and promote the creation and development of new work. We aim to address the technical and aesthetic concerns of artists working through print and we promote the highest standards of practice. We facilitate professional development for artists and encourage collaborative work, through a range of dynamic programmes, projects and awards. In addition, we build an awareness, interest and appreciation of printmaking by developing and implementing high quality, highly accessible education programmes and event for members of the public.</p>
<p><strong>The Lavit Gallery </strong>The Lavit was originally set up by a group of artists wanting to promote an interest in art in 1963. Currently, the gallery shows the work of over 400 artists, introducing many new artists to Cork audiences.  It is a non-profit organisation which is dedicated to promoting the work of local and national artists.</p>
<p><strong>About Faoin Speir: In the Open programme at Wandesford Quay</strong></p>
<p>Cork Printmakers, the Lavit Gallery and Backwater Artists Group will open up their courtyard to the public at Wandesford Quay between August 2021 and April 2022, presenting events across multiple artforms focusing on community and arts education, performance and more.</p>
<p>A canopy/pavilion designed by The Living Commons was installed to be used for the duration of the programme. This is called the <em>Self Assembly </em>and is a covered area with modular seating and work surfaces, to allow for socially distanced workshops, talks etc. This is a temporary structure that can be flatpacked into a trailer for moving away. It is estimated it takes 2.5 hours to fully assemble and 2.5 hours to take down. As well as being used for the main events programme, the structure can be booked by members and the organisations at WQ to host talks, launches, events, seminars etc. and is intended for multi-function use.<br />

<p>As well as a Programme Manager, WQ have appointed a Production Support Officer to oversee site management, and event support, until April. This person will liaise with the Programme Manager to ensure communication of activities and to coordinate schedules.</p>
<p>The Production Support Officer will oversee the production, technical and safety aspects of the programmes</p>

<li>communicate with key Local Authority partners and departments to ensure safety permits and procedural documents are compliant</li>
<li>ensure access on and off site</li>
